Privacy Policy

Podcast Impact Studio, Inc. ("Podcast Impact Studio," "we," "us," or "our") is a podcast production and coaching company based in Burnaby, British Columbia, Canada. This policy explains what personal information we collect, why we collect it, who can see it, and what choices you have.
It applies to our website (podcastimpactstudio.com), our production services, and our group coaching programs, including the Off-Script Impact Collective (Origin and Amplify). We follow British Columbia's Personal Information Protection Act (PIPA) and, where it applies, Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).
The short version: we collect what we need to run your program or your show, we tell you plainly when AI is part of the process, your fellow Collective members can see your shared documents, and you can ask to see or delete your information at any time.
Payments are processed by Stripe. We never see or store your full card number. Stripe handles your card details directly under its own privacy policy. We receive only limited information, such as your name, the amount paid, payment status, and the last four digits of your card.
Like most websites, ours may use cookies and similar technologies, including analytics tools, to understand how visitors use the site and to keep it working properly. Our web host may also collect basic technical information such as your browser type and IP address. You can control or block cookies through your browser settings.
We do not sell your personal information, and we do not share it with advertisers.
Off-Script Impact Collective sessions are recorded. By joining a session, you agree to be recorded. Here is who can see what:
We keep recordings and transcripts for 12 months after your Collective ends, then delete them, unless you ask us to delete yours sooner or we need them for a legal reason. We never publish session recordings publicly without your written permission.
Each Collective has a shared Google Drive folder. Everyone in your Collective can see the documents in that folder, including each other's participant documents. This is intentional: learning from each other's work is a big part of how the Collective works.
Please do not put anything in your intake answers that you would not want your Collective to read. If there is something you want only our team to know, tell us directly and say so, and we will keep it out of the shared documents.
Everyone in the Collective agrees to the group agreement, which includes keeping what is shared inside the group (see our Terms of Service). We cannot fully control what other participants do with what they see, but we take breaches of the group agreement seriously.
We want to be upfront about this. We use Claude, an AI model made by Anthropic, to process session transcripts and intake answers so we can build your participant documents. A member of our team reviews and edits what the AI produces before you receive it.
If you would rather your transcripts not be processed with AI, tell us before your first session and we will talk through what that means for your documents.
We use trusted service providers to run our business. They only get the information they need to do their job:

Several of these providers store data in the United States or other countries. When your information is outside Canada, it is subject to the laws of that country, and authorities there may be able to access it. We choose providers with strong security practices.
Our forms ask how you are comfortable with us sharing your feedback. We only use testimonials in the way you choose, for example with your full name, first name only, anonymously, or not at all. You can change or withdraw your permission any time by emailing us, and we will stop using it going forward (we cannot recall anything already printed or shared by others).
When we no longer need information, we delete or anonymize it.
We use access controls, secure platforms, and confidentiality agreements with our team. No system is perfectly secure, so if we ever learn of a breach that creates a real risk of significant harm to you, we will notify you and the appropriate regulator as the law requires.

Heads up: if you ask us to delete information from a group session recording, we may not be able to cut you out of a recording other participants also appear in, but we will do what we reasonably can, such as removing your participant documents and limiting access.

Our website, programs, and services are for adults. We do not knowingly collect information from anyone under 18.
If we make meaningful changes, we will update the date at the top and let current participants and clients know by email.
